Request Space in University Libraries

Who Can Request Space? What Can Spaces be Used For?
UNC departments and student organizations can use space in University Libraries. You can use spaces for events, short-term exhibits and displays, and tabling. You must submit a proposal to use space.
First, please read the information below, then submit a Space Request Proposal.
Guidelines for Space Use in University Libraries
Activities in University Libraries spaces must:
- Support the mission [LINK] of the University Libraries
- Be of interest to the broad university community (but not promotional in nature)
- Be publicized by the organizer (not University Libraries)
- Be free and open to the public
- Be held during normal building hours [LINK]
- Be alcohol free
Organizers (not University Libraries Administration) must ensure there is adequate staffing to assist guests during the event.
After the event, organizers must:
- Return the space to its original state (furniture may be left in place)
- Dispose of or remove all leftover food, beverages, and paper products
- Turn off all A/V equipment
Organizers are responsible for installing and de-installing all materials. Organizers must:
- Get approval from University Libraries Administration for all display decisions
- Arrange dates and times with University Libraries Administration to install and de-install materials. If you leave materials behind after the de-installation date, University Libraries will not be responsible for them.
- Use to the existing space arrangement. Minimal furniture rearrangement is allowed in consultation with University Libraries Administration.
- Hang materials using methods approved by University Libraries Administration. Hangers must not cause permanent damage.
- Make professional-looking signs and labels. Include a label with the name of the campus department or student organization that is responsible for the display.
- Return the library space to its original state at de-installation
The following are not allowed in exhibits or displays:
- Perishable materials
- Organic materials that can attract pests (plants, dirt/soil, food with a shelf life, anything with a smell)
- Bodily fluids
- Live animals
- Sharp objects or weapons
- Water
- Glitter or confetti
Any works featuring derogatory or offensive imagery or language must be reviewed by University Libraries Administration.
- Library spaces do not have attendants or security
- University Libraries is not liable for any theft or damage that may occur to any display materials
- Tabling can take place in the Michener Library foyer and near the Skinner Music Library entrance
- Tables and chairs are provided; they are not to be removed from the foyer or the entrance area
- Groups must bring their own equipment and supplies
- Temporary signage may be posted on the table, but must be removed at the end of the reservation
- Area must be left clean and orderly. Table surfaces are to be cleared and all trash/recycling placed in appropriate bins.
Spaces in University Libraries
These are examples of University Libraries spaces that can be reserved.
Spaces are not guaranteed to be available. If a proposal is accepted, University Libraries Administration will recommend an appropriate space.
The Suey Hey and Stella Chin Multipurpose Room is located on the lower level of Michener Library. The room holds 88 people and can be configured in various ways. The space measures 30′ x 38′ with a side area that measures 15′ x 22′. It features 20 movable tables and 85 movable chairs, along with a break room with a refrigerator. Like classrooms across campus, it has an instructor station with a desktop computer, laptop hookups, projectors, speakers, and camera.
The foyer of Michener Library can be reserved for tabling events.
The Michener Library mezzanine stairwell can be reserved for displays. Lightweight items can be hung from the mezzanine walls.
Michener Library features two alcove spaces on the first floor that can be used for smaller exhibits. They are located behind the Mari Michener Gallery.
Skinner Music Library has space for tabling or small exhibits or displays.
The Government Publications area is on the lower level of Michener Library. It includes both wall space and display cases.
The lower level of Michener Library features several display cases. Wall space is also available to hang materials.
Two display cases near the Game Nook on the first floor of Michener Library can be used for small displays.
The Mari Michener Gallery is maintained by the University Libraries Gallery Committee. This guide provides more information about the gallery.
The second floor of Michener Library features an open area that can be used for small displays.
Space Request Proposal
- Proposals should be submitted 6 weeks in advance
- Submitting a proposal does not ensure a reservation. We cannot guarantee that we will accommodate every request. Approval of events will depend on space availability, time in the semester, time of day, noise level, etc.
