Unified Messaging Frequently Asked Questions

 

Q:  Do I have to listen to my voicemail from my computer?

A:  No.   You can still use your phone like you have before.  However, we recommend using the Viewmail for Outlook client to manage your voicemessage.  That client can be configured to call your phone to play a message.  Please contact the TSC for assistance with installation of that client.

Q:  Will voicemails fill up my email box?

A:  Yes.   Your mailbox has a storage limit  of 200MB so you may need to archive more often.

Q:  Sometimes I see that I have a new voice message in Outlook, but when I call in, there are no new messages.  Where is my new message?

A:  It is very easy to inadvertently mark a message as read in Outlook.  This will take away its “new message” status.  By default, when you play “Saved Messages,” it plays the oldest first.  You can change this by logging on to http://itvm01.unco.edu/ciscopca (accessible via on campus computer or VPN) with your domain account (firstname.lastname) and accessing the Cisco Unity Assistant.  Under the Preferences menu select ‘Message Playback.’  Change the “Saved Message Play Order” to play “Newest first.”

Q:  Can I retrieve my voice mail using OWA?

A:  Yes.   You will need to open the attachment (voice message) with a media play such as Windows Media Player or Real Player.

Q:  When I delete my emails from the phone does it permanently delete the message?

A:  No. The deleted messages will move from your Inbox to your Deleted Items folder until you remove them from there.

Q:  In what order does my voice mail and email get played back to me on my phone?

A:  The order is as follows:

  1.         Urgent New Voice Mail
  2.         Normal New Voice Mail
  3.         Urgent New Email
  4.         Normal New Email

You can change this order by logging on to http://itvm01.unco.edu/ciscopca (accessible via on campus computer or VPN) with your domain account (firstname.lastname) and accessing the Cisco Unity Assistant.  Under the Preferences menu select ‘Message Playback.’  Sort options are available on this page.  You may also have the system prompt for whether you would like to listen to voicemails or emails by checking the “Message Type menu” at the top of this page.

Q:  Can I play messages from the phone that are not in the Inbox folder?

A:  No.   From your phone you can only listen to messages that are in your Inbox.  Not only will you not be able to call in to hear messages outside of your inbox, but new voicemail messages that are moved to folders other than your inbox will affect the function of your Message Waiting Indicator (MWI) status.

Q:  Can I run ViewMail on a Mac?

A:  No.   ViewMail only works on PCs with a Windows operating system. To listen to messages on your Mac, you will need to play the message with a media player such as Real Player or QuickTime.

Q:  Can I reply to a voice mail message using email.

A:  Yes and No.   To reply, the sender must also be on Unified Messaging.  However, you can forward a voice message to anyone with an email address and it will be delivered as a normal email with an attachment.

Q:  If I’m not on the UNC Exchange Server, can I get Unified Messaging?

A:  No.   Unified messaging will only work with the UNC Exchange Server.
