Preparing Your Manuscript

FORMAT REQUIREMENTS

The University offers the Graduate Publication Manuals to provide students with information on university requirements for organizing and publishing the Masters Thesis, Audiology Capstone and Doctoral Dissertation. At the University of Northern Colorado, the appropriate writing style and format is determined, in part, by disciplinary standards. In some cases, a program may select one style manual to use for text, headings, citation, and other general features of format, but use a separate manual for figures. This is acceptable if parameters for use of each are clearly defined, presented in writing to the Graduate School, and approved by the Graduate Dean. Students should verify the style manual adopted by their program, and is responsible for ensuring that the Graduate School has a copy of that manual. Do not use other Thesis/Capstone/Dissertations as examples for approved format. Please follow the format requirements in the manuals below.

Hiring a Typist

The Graduate School maintains a list of typists who have extensive experience with our guidelines.  No endorsement is implied by the maintenance of this list, nor are authors restricted to employ the typists whose names appear there, however any typist hired must follow the University of Northern Colorado Graduate School guidelines.  The following have many years of experience with UNC formatting requirements.  Some have editing experience also. Please be specific regarding your expectations when you make your inquiry.

A competent typist or transcriptionists has up-to-date equipment in good repair and is at least as concerned as the author that the Graduate School specifications for the dissertation are reflected in the typed copy. It is the student's responsibility to ensure that the contractor has been given complete precise instructions, including all information necessary to complete the work, for example the style manual which the author must follow for their program, as well as the style manual from the Graduate School. It is expected that there will be ongoing communication between the student and typist throughout the process. The student is responsible for approving and proofreading the work prior to turning it in to the graduate school.

ELECTRONIC REVIEW AND APPROVAL FROM GRADUATE SCHOOL

The ELECTRONIC review copy is read by two people in the Graduate School for format and to assure that it meets University standards. Corrections are commonly requested at this point. We will e-mail any changes to you.

Preparing your Manuscript for Graduate School Review

  • The electronic copy should be in no more than 2 MS Word documents (the preliminary pages and the dissertation) or preferably in a single MS Word or Adobe PDF document.
  • Naming requirements for filing your electronic thesis, capstone or dissertation: Last Names.First Initial.Date sent to Graduate School
    • ie: Sample.C.10.08.09
    • if sending more than one document, the preliminary pages should be named: prelim.Sample.C.10.08.09
  • Complete the Submission Form, and send it to Carol Steward to trigger the review
  • After the review, we will e-mail any corrections

DELIVERY FINAL PRINT COPIES TO GRADUATE SCHOOL

  • Make edits as requested in the Graduate School Review
  • After approval from the Graduate School, print the final copies to be distributed as follows
    • 1 for UNC Libraries Archive
    • 1 for UNC Libraries Circulation
    • 1 for your Research Advisor (2 if you have co-advisors)
    • 1 for yourself

Paper Requirements

  • White paper must be used.
  • 1 copy on 25% (or higher) cotton white, acid-free 20 lb paper for the Archive. It should have a watermark (such as Southworth Exceptional Business or Resume paper) and
  • 3 copies - plain 20 lb. copy paper is acceptable, but use whatever quality white paper you choose
  • If you want additional copies for friends and family, bring additional copies to be bound. Your UNC account will be charged for the binding. Please see additional information regarding the binding of your manuscript: Thesis and Dissertation Handling Fee Schedule.

Printing Alternatives

woman in UNC  libraryPrinted copies must be made from a high quality printer and be free of stray lines and smudges. If you would rather contact a Greeley copy business to print out your manuscript, that is also acceptable, as long as they can print one copy on the cotton paper. The Graduate School cannot pick up copies, so the printer must have delivery service to Carter Hall Office 2007, or you should find someone reliable to deliver the final copies to us. If they are not in good condition, you will be required to reprint. The Graduate School must have all copies and all final forms completed by graduation day in order to release your degree confirmation and final transcript.  

Mailing Instructions

If you are not able to deliver the manuscript copies in person, pack them carefully for shipping to avoid additional expenses. Samples of shipped manuscripts:

Binding Sheet

Include a permanent address, phone number and email address, which will not change after graduation because the student’s copy is sent directly to you. If you plan to move in the month or two after graduation, please have the thesis or dissertation sent to a family or friend’s address so your bound copies of your thesis or dissertation will get to you. We do not have physical space to store them.

Non-Plagiarism Affirmation

The following is the approved definition of plagiarism: Plagiarism is the act of appropriating the written, artistic, or musical composition of another, or portions thereof; or the ideas, language, or symbols of same and passing them off as the product of one's own mind. Plagiarism includes not only the exact duplication of another's work but also the lifting of a substantial or essential portion thereof. Regarding written work in particular, direct quotations, statements which are a result of paraphrasing or summarizing the work of another, and other information which is not considered common knowledge must be cited or acknowledged, usually in the form of a footnote. Quotation marks or a proper form of indentation shall be used to indicate all direct quotes. As long as a student adequately acknowledges his/her sources and as long as there is no reason to believe that the student has attempted to pose as the originator, the student will not be charged with plagiarism even though the form of the acknowledgment may be unacceptable. However, students should be aware that most professors require certain forms of acknowledgment and some may evaluate a project on the basis of form.

Publishing Your Thesis Booklet

  • Publishing the Master's thesis is optional. If you do decide to publish, please change the Abstract to reflect that it is published, and complete and turn in pages 4-5. DO NOT include a check for the ProQuest publishing fee, the charges will be paid from your UNC account.
  • If you want ProQuest to register the copyright, complete pages 4-6 and include a check (no credit card is accepted) for the regsitration fee of $65 made out to ProQuest Information & Learning.
  • Optional. If you want to order additional bound copies from ProQuest, please send page 7 and a payment (check, money order, credit card). (This is totally different from the binding that we do through UNC's binder).
  • Turn in all forms to the Graduate School with payments.

Survey Of Earned Doctorates

This survey collects data (educational background, sources of support, and future plans) from graduated doctoral Students. Please fill out the electronic copy of this survey, print a copy and turn it in to the Graduate School. For more information about this survey you can view the Purpose and Use Brochure and Confidentiality Brochure.

Attention!

IF you are planning to publish any portion of your paper in a professional journal or as part of a book, you should read and pay particular attention to guide 3 and guide 4 in the booklet. We highly recommend placing an embargo on the publishing through ProQuest to give you time to submit your project to a journal or book publisher.
