Online Moving Request Form - This form must be used for requesting on Campus moves of furniture and equipment. This includes surplus items that are no longer needed by University Departments. Please allow 72 hour minimum notice.

Moving of Equipment and Individual Offices:

Moving services are provided free of charge for minor moves made within the parameters of normal University business.

Large moves or moves made off campus may be a billable service.

The moving crew does not move computers, printers or copiers (unless they're going to surplus).

Any chairs, tables, risers, etc. that are needed for special event set ups are to be requested through the Scheduling Office when requesting a room or area (351-2558).

Surplus Furniture Storage and Distribution

The Campus Community can view surplus furniture on Wednesdays from 10:00 to 11:30 a.m. at Parsons Hall. Surplus is stored at UNC for only a short time due to space constraints, and surplus furniture and equipment are routinely taken to Fort Collins for auction disposal and/or donated to local non-profit organizations.

UNC Facility Scheduling Policy

    Facility Ownership Policy

    UNC facilities are considered a resource of the University provided by the citizens of the State of Colorado. As State property, these facilities are primarily intended to support continuing programs of instruction, research, and diversified service to enrolled students. Academic facilities are not owned by individual departments or campus units but by the State of Colorado and are operated and maintained by the University's Department of Facilities Management, under the direction of the Vice President for Administration. Limited access is available to these facilities for University and non-University groups according to established scheduling procedures.

    Academic Use Priority Policy

    Through established scheduling procedures and deadlines, the facilities are to be first reserved for the direct use of students enrolled in instructional programs.

    When not directly committed to the instructional service of enrolled students, the facilities are to be made available for educational, administrative, and cultural events of recognized University organizations. Facilities also may be requested for use by members of the non-University community as facility space and resources permit.

    Non-Academic Use Policy

    Use of the University premises for purposes other than academic classes is restricted to events and meetings sponsored by one or more of the following:
    • Colleges, Schools, Departments, and functional units of the University
    • University recognized Student Organizations
    • University allied or affiliated organizations (such as the University of Northern Colorado Foundation or Alumni Association)
    • Unsponsored non-University groups and organizations, with approval of the appropriate Scheduling Office Coordinator or the Vice President for Administration, when the event or meeting is of educational, social, or cultural significance and constitutes a desirable contribution to general community welfare.

    Access Preference Policy

    Preference for use of space will be given within defined time periods to the scheduling of academic courses, and then to University events requiring specific facilities. Space available after those requests are met will be assigned according to established preference priority consideration policies.

    Within the defined time periods established, space will be assigned based on the following categories of preference/priority:

      1. Academic courses.
      2. University-sponsored events requiring specific facilities.
      3. University-sponsored events which are open to the entire University community.
      4. University-sponsored events which are restricted to membership or internal meetings.
      5. Non-University group or organizational events which are open to the entire University community.
      6. Non-University group or organizational events which are restricted to membership or internal meetings.

    Once space requested is assigned according to these policies, the commitment for space will be honored. However, the University of Northern Colorado does reserve the right to refuse or cancel a reservation if it conflicts in any way with general policy regarding events on campus. The right is also reserved to change the location of an event if comparable facilities can be provided.

    Non-University Use Policy

    University facilities are not available for unrestricted use by non-University groups. University facilities are not available, for example, to non-University organizations or individuals for activities that seek a profit for the individual(s) or organization(s) involved. Questions of event scope/facility use by non-University groups will be reviewed by the appropriate Scheduling Office Coordinator and may be further reviewed by the Vice President for Administration prior to event approval for scheduling.

    No commitment for facility use, nor quote for associated event fees and charges, shall be made to non- University groups by any parties other than Coordinators of University Scheduling Offices, both to allow for this review process and to maximize efficiency of facility scheduling and cost recovery.

    Contracted Use Policy

    Any contract for facility use between the University and a non-University group under the stated policies shall provide for recovery of costs and be limited to uses that do not interfere with the primary uses for which the facilities were intended. Contracted and/or authorized use of a facility does not in any way constitute University or State endorsement of the using organization. Sponsoring departments/organizations must schedule space prior to contracts being signed in order to guarantee space availability.

    Standard Scheduling Process Policy

    University of Northern Colorado facilities shall be scheduled and managed in such a way as to provide appropriate utilization of these state resources. It is required that all activity in University facilities be scheduled or registered through established scheduling procedures with the appropriate Scheduling Office. This requirement is to include academic courses, meetings, athletics, other University events, and non-University events. The Scheduling Office will initiate actions to process the necessary scheduling forms and inform appropriate offices. Only University Scheduling Offices are authorized to reserve University facilities for use by any party.

    It should be recognized that departments, at times, are assigned a specialized facility for use for specialized programs. It is equally important to note, however, that these facilities are in demand for events and meetings other than those sponsored by the department, such departments are expected to schedule these programs as soon as possible and then make the facility available to other appropriate groups. In general, the administration building, University Libraries, departmental conference rooms and offices, computer labs, and department-specific designated labs are not considered appropriate for events and will not be scheduled for events by the Scheduling Offices unless requested directly by the affected department or campus unit.

Scheduling Offices

  • The Event Planning office (under the Vice President for Administration) is responsible for scheduling auxiliary facilities, including the University Center, Centennial Hall, Faculty and Student Residence Halls, and adjacent grounds.
  • The Academic Scheduling Office (under the Office of the Provost and Vice President for Academic Affairs) is responsible for scheduling academic/athletic facilities, including academic classrooms, buildings, athletic facilities and fields, theaters and auditoriums in academic buildings and outdoors, and adjacent grounds and parking lots. Academic courses are to be scheduled using the academic approval process and course forms. Due to the specialized nature of a majority of the academic facilities, a minimum notice for any type of use is three (3) business days, to allow for coordination of adequate support services that may be needed.
  • The Campus Recreation Center Scheduling Office is responsible for scheduling all activity in the Campus Recreation Center.
  • The Nottingham Stadium Scheduling Office is responsible for scheduling all activity in the Nottingham Stadium.

Cost Recovery Policy

Standard facility rental fees are charged to all non-University groups to recover costs to the University incurred related to specific scheduled events. If, in the judgment of a University department or organization, the activities of a non-University group will contribute to and serve the University's purposes, and exception to the assessment of standard facility rental fees may be requested in writing by the sponsoring University department/organization. The written sponsorship request must be received and approved by the appropriate Scheduling office or by the Vice President for Administration prior to the date of the event. Appropriate permits must still be obtained, and all service, equipment, and security fees must still be assessed to the non-University group, according to standard guidelines.

No facility rental fees are charged for academic courses or for related course support programs scheduled according to established timeframes. University groups are charged facility rental fees for use of certain auxiliary facilities and for after-hours/holiday use of academic/athletic facilities.

Equipment Rental Charges, Labor/Service Charges, and, when required, Security Charges, are assessed to any individual or group using University facilities, regardless of University/non-University status. Only Facility Rental Charges are affected by a group's University affiliation.

NOTE: Facility charges will be assessed for any University-sponsored event which charges a fee to UNC students.

Neutrality Policy

The academic facilities at the University are provided for educational purposes and are not intended to be used as competitive event sites. The Academic Scheduling Office receives no fees for scheduling events, and academic departments receive no fees from events. All academic and auxiliary facility rental fees generated recover facility operation costs.

Specific Procedures and Fees

The specific scheduling policies, procedures, and fee schedules for campus facilities rental, equipment rental, facilities service fees, security fee, and food service fees are available at the Scheduling Office.
